  • Manage Payment Cycles: Execute timely payment runs (EFT, cheque, wire), capture early payment discounts, and reconcile vendor statements to resolve billing or shipment discrepancies promptly.
  • Maintain Vendor Master Data: Maintain up-to-date vendor profiles, including banking details, credit terms, and period contract compliance reports.
  • Drive Cross-Functional Collaboration: Partner with Procurement, Branch Managers, Operations, and Manufacturing to validate received goods, resolve PO variances, and support physical inventory counts.
  • Support Financial Modernization: Assist with ERP workflow improvements (Bistrack, Microsoft Dynamics, Beanworks), adhere to internal financial controls, ensure tax compliance (HST), and maintain month-end close discipline.
  • Act as a Liaison: Serve as the primary finance contact for AP-related inquiries from vendors, purchasing teams, and operational leadership.
  • Provide general administrative, office, and clerical support to the Finance department as needed.

  • 3-5 years of Accounts Payable experience , preferably within manufacturing, distribution, or construction supply. Knowledge of ASPE and Canadian sales tax (HST) compliance
  • Technical Proficiency: Strong Excel skills (VLOOKUP/XLOOKUP, pivot tables) and experience with ERP systems (Epicor/BisTrack, Dynamics, Sage, or similar).
  • Reconciliation & Matching Skills: Proven ability to manage 3-way invoice matching, interpret vendor statements, reconcile clearing accounts and subledgers, and resolve PO/pricing discrepancies.
  • Communication Skills: Excellent verbal and written communication skills for navigating vendor inquiries and maintaining professional relationships across operations.
  • Adaptability: A proactive approach to working within a finance team undergoing transition and a willingness to contribute to new process standardization.
  • License & Physical Requirements: Valid Ontario Class G License with a clean driver's abstract for multi-site travel, and physical capability to perform essential duties, including lifting up to 40lbs during inventory counts.
