Job Summary

The Administrative Assistant - Accounts Receivable and Payable will play a crucial role in maintaining the financial integrity of the company by handling accounts receivable and payable, ensuring timely processing of invoices, and managing daily cash reconciliation. This position will also provide some administrative support to the owners of the company, and will liaison with the rest of the team, to ensure efficient transfer of information.

Key Responsibilities

  • Accurately enter and process financial transactions related to accounts receivable and accounts payable into QuickBooks.
  • Review and process incoming invoices for payment, ensuring all details are correct and authorizations are in place.
  • Generate and send out invoices to customers, and post payments received to the appropriate accounts.
  • Reconcile daily cash transactions and prepare deposit slips for bank submissions.
  • Maintain detailed records of all transactions, ensuring that all entries are up-to-date and accurate.
  • Follow up on outstanding invoices, communicating with clients to resolve any issues and expedite payment.
  • Prepare financial reports related to accounts receivable and payable for review by management.
  • Assist with month-end closing procedures, including preparation for account reconciliations.
  • Maintain organized financial records for easy retrieval and reference.
  • Handle sensitive financial information with confidentiality and integrity.
  • Provide administrative support to the owners as needed, including filing, document preparation, and other ad hoc tasks.

Qualifications

  • Proven experience in an administrative role with a focus on financial tasks.
  • Strong understanding of basic accounting principles and proficiency in accounting software.
  • Excellent attention to detail and a high degree of accuracy in data entry.
  • Effective communication skills for interacting with clients, vendors, and internal teams.
  • Ability to manage multiple tasks simultaneously and meet tight deadlines.
  • A commitment to maintaining confidentiality regarding financial and company information.

Education / Experience

  • A minimum of a high school diploma; further education or certification in accounting or business administration is preferred.
  • A minimum of 5 or more years of financial record keeping / bookkeeping.
