Department

The Technology team provide the very highest quality of service together with carefully selected and developed technology to enable our internal clients to provide the service our external clients require from a top international law firm. The Tech team is recognised as being one of the brightest and best law firm technology teams in the market.

The Technology team prides itself on trusting internal expertise and enabling and empowering individuals to create efficient and effective solutions for the firm. Experts maintaining our key platforms is considered a necessity to providing a top class service.

The Business Systems Team sits within the Technology Department and are responsible for many of the firms key platforms. This includes the BD systems, the Billing, Time recording and Accounting Systems and the ServiceNow platform.

The Role

The successful candidate will be engaged on a fixed-term basis to serve as the firm's internal subject matter expert for its HR technology ecosystem during a period of significant system change. This is a hands-on technical role suited to someone who is equally comfortable discussing business requirements and delivering system solutions. The primary focus of the role is to lead on a number of significant forthcoming projects, including the introduction of a new compensation module, an upgrade to our existing core HR system and a Performance Leader platform, and the ongoing maturation of our people reporting capability.

Working collaboratively within the Business Systems Team, you will ensure that HR data flows reliably across connected systems - including payroll, finance, and legal practice management platforms - and that the firm's HR technology estate is well-positioned for future development beyond the contract period.

Key Responsibilities

System Implementation & Project Delivery

  • Support end-to-end HRIS upgrades, module implementations, and system migrations, from requirements gathering through to go-live and post-live stabilisation.
  • Translate HR and business requirements into detailed functional and technical specifications.
  • Coordinate with vendors, implementation partners, and internal Technology teams to deliver projects on time and within scope.
  • Conduct system testing including unit testing, integration testing, and UAT, documenting results and managing defect resolution.
  • Support the upgrade of the firm's HRIS, which will incorporate a new mobile app, rolling-out AI features and advanced reporting.
  • Support the implementation of a new lateral hire ATS, including its integration into the firm's HRIS and the migration of any necessary live vacancies/candidates.

Compensation Module Implementation

  • Take a lead role in the end-to-end implementation of the firm's new compensation module, working closely with HR and Finance to define requirements, configure and test the solution, and manage the transition from existing processes.
  • Configure compensation structures, salary bands, bonus plans, and approval workflows within the module.
  • Coordinate the data integration, mapping and data migration of all relevant employee data (including current and historical compensation data) from the firm's HRIS, ensuring accuracy and completeness prior to go-live.
  • Design and deliver integration between the compensation module and the firm's HRIS, ensuring approved changes flow accurately and on time.
  • Develop reporting and audit outputs to support compensation review cycles and governance requirements.

Performance Leader Upgrade

  • Support the planning and delivery of the upgrade to Performance Leader, including impact assessment, configuration changes, and testing.
  • Work with HR stakeholders to review and improve existing performance related workflows as part of the upgrade, identifying opportunities to better leverage the platform's capability.
  • Oversee the introduction of AI features into future performance cycles, liaising closely with key stakeholders including HR, Legal Technology and Data Privacy Counsel.
  • Lead on all aspects of UAT, including engaging other key HR and system users where appropriate, managing feedback and defect resolution through to sign-off.
  • Produce updated documentation and user guidance to reflect post-upgrade processes and functionality.

System Configuration & Administration

  • Own day-to-day system administration across the HR platform during the contract period , including security roles, workflow rules, approval chains, and notification logic.
  • Configure and maintain core HR modules including organisational structure, positions, compensation, absence management, performance, onboarding, and reporting.
  • Support configuration requirements specific to a legal environment, such as qualification tracking, practising certificate management, SRA regulatory requirements, and partner and fee earner role structures.
  • Build and maintain business rules, calculated fields, validation logic, and conditional workflows.
  • Maintain configuration documentation and a change log for all system amendments.

Integrations & Data

  • Support ongoing management of integrations between the HRIS and connected systems, including payroll, recruitment ATS, LMS, finance, identity management (SSO/Active Directory), and benefits platforms.
  • Support integrations with legal-specific platforms such as practice management, time recording, and legal billing systems, ensuring HR data including employee records, cost codes, and organisational structures flows accurately into downstream systems.
  • Support the management of master data integrity, ensuring the HRIS remains the system of record for people data across the firm.
  • Ensure integration monitoring is in place and act as first point of escalation for interface failures or data discrepancies.
  • Administer inbound and outbound file-based integrations (SFTP, CSV, XML, JSON) where API connectivity is not available.

Reporting & Analytics

  • Write and maintain SQL queries against HR system databases to extract, validate, and manipulate people data in support of operational and analytical reporting requirements.
  • Build and maintain SSRS reports and scheduled report distributions to meet the needs of HR, Payroll, Finance, and senior stakeholders.
  • Support the firm's transition towards a more mature people analytics capability, including contributing to the development of Power BI dashboards and datasets connected to HRIS data.
  • Work alongside Technology and data teams to support the longer-term adoption of Microsoft Fabric as the firm's data platform, providing input on HR data structures, mart design, and semantic layer requirements.
  • Support people analytics requirements specific to a legal environment, including headcount by practice group, fee earner to support staff ratios, attrition analysis, and workforce planning data.

Support & Continuous Improvement

  • Act as the primary escalation point for complex system queries from HR, Payroll, and Technology teams.
  • Play a proactive part in identifying process inefficiencies and proposing system-driven improvements within the scope of the contract period .
  • Collaborate with other Technology teams to identify how HR systems capability can better support the department and the wider firm during the contract period .
  • Maintain up-to-date system documentation including data dictionaries, process maps, integration architecture diagrams, and user guides.
  • Manage relationships with system vendors, raising and tracking support tickets through to resolution.

Required Skills & Experience

  • Demonstrable hands-on experience delivering HRIS projects and implementations, including administering and configuring an enterprise HRIS .
  • Strong understanding of HR data structures, including employee lifecycle events, organisational hierarchies, position management, performance cycles and compensation frameworks.
  • Working knowledge of Crystal Reports, SSRS or Power BI, including connecting to HR data sources, building datasets, and producing dashboards for HR and business stakeholders, as well as working knowledge of SQL for data extraction, transformation, validation, and reporting against relational databases.
  • Experience building and maintaining reports, including scheduled delivery and parameterised report design.
  • Solid understanding of data governance principles and experience working with sensitive employee data in line with GDPR.
  • Ability to work collaboratively within a cross-functional team.
  • Ability to communicate candidly and clearly across multiple communities - from within the team, through the HR and Technology Department, and across other business functions.

Desirable Skills

  • Experience of working within a sprint methodology is desirable.
  • Experience of SelectHR (HRIS) and SelectPay (Payroll) (both Access Group products), including configuration, administration, and integration capability.
  • Familiarity with Performance Leader and experience managing platform upgrades or migrations.
  • Exposure to Microsoft Fabric.
  • Familiarity with legal practice management or matter management systems.
  • Practical experience building and maintaining system integrations, including API-based and file-based methods. Ability to read and interpret API documentation (REST/SOAP) and work with JSON or XML payloads.
  • Comfortable and confident in presenting large and complex data sets to different stakeholders.
  • Experience with integration platforms or iPaaS tooling such as SSIS, Boomi, Workato, or MuleSoft.
  • Familiarity with ITIL or structured change management processes.
  • Understanding of SRA regulatory requirements as they relate to workforce and people data.
