Overview

As Data Executive at Civica Election Services, you will support the delivery of ballot, election and democratic engagement services by preparing and validating data, managing personalized communications, and coordinating print and digital outputs. You’ll work across multiple live projects, liaising with cross-functional teams to ensure accuracy and timeliness. This role offers hands-on data work in a mission-driven environment serving citizens and member organisations. You will shape efficient data flows and improve delivery during high-stakes election periods.

Responsibilities
  • Examine, cleanse and prepare client data for postal mailings and email distributions
  • Identify and fix data quality issues in datasets using Excel and Access
  • Create and maintain data quality reports and collaborate with clients to resolve issues
  • Manage personalised email campaigns using dedicated platforms
  • Monitor high-volume email distributions and troubleshoot delivery problems
  • Create variable data print setups with Quadient Inspire
  • Coordinate with project management, design and production to meet mailing requirements
  • Select appropriate Royal Mail products to maximise postal efficiency and discounts
  • Prepare print documentation and production files for mailing activities
  • Support additional print and data requests during live projects and election periods
  • Balance multiple projects with changing priorities and tight deadlines
  • Maintain accurate project records throughout the delivery lifecycle
  • Leverage Copilot and Microsoft Office to improve efficiency
  • Support wider Data, Design and Digital team activities as required
Key requirements
  • Strong working knowledge of Microsoft Office applications, particularly Excel
  • Experience working with data, databases, administration, operations, or other detail-oriented environments
  • Excellent attention to detail with accuracy under pressure
  • Strong organisational and workload management skills with ability to oversee multiple assignments
  • Excellent communication skills with both technical and non-technical stakeholders
  • Good understanding of Windows operating systems and common file formats
  • Curious, methodical and analytical approach to problem solving
  • Ability to work independently while contributing to a collaborative team
  • Experience using Microsoft Access, SQL or other database tools would be advantageous
  • Experience with Quadient Inspire or similar document composition tools would be beneficial
  • Knowledge of HTML, email marketing platforms or digital communications would be advantageous
  • Experience in a project-based environment would be desirable
  • Understanding of Royal Mail mailing products and Mailmark would be beneficial
  • Knowledge of VBA or other programming/scripting languages would be advantageous
  • Interest in elections, governance, member engagement, or democratic processes would be beneficial
  • Attention to detail under pressure
