Overview

As IP Administrator, you will support a busy IP team to protect key intellectual property assets. You will manage patent records, deadlines, and prosecution files, ensuring accurate, timely actions. You will coordinate with inventors, external patent attorneys, and internal stakeholders while maintaining documentation and invoicing. You will help streamline IP processes and contribute to continuous improvement. This role suits someone who thrives in a collaborative, detail‑oriented environment focused on scientific discovery and protection of innovations.

Responsibilities
  • Maintain patent and IP records in the IP management system
  • Track deadlines and coordinate timely actions
  • Manage patent prosecution files and correspondence
  • Handle patent formalities, including inventor assignments
  • Liaise with inventors, external patent firms and internal stakeholders
  • Process invoices and maintain accurate documentation
  • Support IDS activities and prior art record management
  • Manage team inbox and publication database
  • Coordinate IP training, onboarding and awareness activities
  • Support continuous improvement of IP procedures and processes
Key requirements
  • Previous patent administration experience in-house or in private practice
  • Experience using IP docketing and document management systems
  • Excellent organisation and attention to detail
  • Strong communication and stakeholder management skills
  • Proficiency with Microsoft Office
  • CIPA Patent Administrator qualification
  • Positive, proactive and collaborative approach to work
