Medical Office Manager

A growing specialty healthcare practice is seeking an experienced Office Manager to support front-office operations, provider scheduling, patient coordination, and overall practice workflow. This individual will serve as a key liaison between patients, providers, advanced practice staff, and clinical team members while helping ensure a seamless experience from intake through follow-up care.

The ideal candidate will come directly from a healthcare practice environment and possess a strong understanding of patient scheduling, provider workflow, healthcare operations, and patient communication.

Key Responsibilities

  • Manage patient intake, registration, and scheduling activities
  • Coordinate patient discharge and follow-up communications
  • Optimize provider schedules to maximize efficiency and access
  • Serve as a point of contact for patients via phone and email
  • Make outbound calls regarding appointments, procedures, pre-visit instructions, and follow-up care
  • Partner closely with providers and clinical staff to coordinate care
  • Support front desk operations and patient flow management
  • Assist with insurance verification, procedure scheduling, and administrative documentation
  • Maintain accurate patient records
  • Help identify workflow inefficiencies
  • Support overall operational efficiency of the practice

Qualifications

  • Experience working in a medical, specialty, or healthcare practice required
  • Understanding of patient intake, scheduling, discharge, and healthcare office workflows
  • Experience working closely with providers and clinical staff
  • Familiarity with medical terminology and clinical documentation
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
  • Experience with EMR/EHR systems
  • Experience with a healthcare practice management platform is a plus
  • Understanding of medical imaging, reports, and supporting clinical documentation
  • Excellent communication and customer service skills
  • Highly organized with the ability to multitask in a fast-paced environment

Schedule

  • Standard hours are 8:30 AM to 5:00 PM
  • Flexibility is required based on provider schedules and patient needs
  • Shifts may begin as early as 8:00 AM and extend as late as 7:00 PM as needed
  • Additional flexibility is especially important midweek
