  • The candidate will be responsible for processing and maintaining employee information for Transit division staff while ensuring data accuracy and validity.
  • The candidate must collect and analyze payroll source documents to ensure employee information is accurate and processed within required deadlines, including records related to new hires, promotions, reclassifications, rehires, terminations, time checks, absence reports, and vacation schedules.
  • The candidate must sort incoming payroll-related documents and process them according to applicable pay periods, wage or salary categories, and established deadlines.
  • The candidate must verify all hours worked, pensionable hours, and premiums generated by the Trapeze System for HSR Bus Operators, Inspectors, and Maintenance Staff and make necessary adjustments.
  • The candidate must complete and balance all hourly payroll records for submission through upload files to the City PeopleSoft Payroll system.
  • The candidate must balance weekly reports and bi-weekly payroll reports to ensure payroll accuracy.
  • The candidate must verify and document all employees’ vacation entitlements and withdrawals on a weekly basis.
  • The candidate must prepare and provide detailed Bus Operator pay statements, including run time, cover time, premiums, and other applicable earnings.
  • The candidate will be responsible for handling inquiries from employees, internal departments, and outside agencies both in person and over the telephone.
  • The candidate will be required to work closely with City Payroll and Human Resources to address questions regarding deductions and employee personal information updates.
  • The candidate must attend meetings with Trapeze System software developers and test potential software updates as required.
  • The candidate will be responsible for updating payroll calculation processes and preparing information notices whenever changes to union collective agreements require revisions.
  • The candidate must perform all duties in accordance with applicable Health and Safety legislation and the City’s corporate and departmental Occupational Health and Safety policies and procedures.
  • The candidate will be responsible for performing other duties assigned that are directly related to the responsibilities of the position.

Job Requirements

  • The candidate must demonstrate experience in HR and payroll processing gained through a combination of education and related work experience.
  • The candidate must demonstrate experience using PeopleSoft or a similar Human Resource Management System, including ad hoc reporting tools, and be able to enter data accurately and efficiently.
  • The candidate must demonstrate the ability to manage a high volume of tasks and responsibilities efficiently in a deadline-oriented environment while maintaining professionalism, working independently, taking initiative, and setting priorities in a fast-paced, constantly changing workplace.
  • The candidate must demonstrate experience in understanding and interpreting Collective Agreements, the Employment Standards Act, Employment Insurance requirements, Corporate Policies and Procedures, By-laws, and related legislation.
  • The candidate must possess strong computer skills, including proficiency in Word, Excel, Outlook, and database applications.
  • The candidate must demonstrate well-developed research, reasoning, analytical, and problem-solving skills.
  • The candidate must demonstrate excellent attention to detail and a strong aptitude for working with figures.
  • The candidate must possess strong interpersonal and communication skills to work effectively with colleagues and other departments while demonstrating tact, diplomacy, and a professional manner.
  • The candidate must demonstrate the ability to receive and interpret information accurately while ensuring a clear understanding of the details.
  • The candidate must demonstrate a high degree of sensitivity, sound judgment, and confidentiality in all aspects of the role.
  • The candidate must have experience developing and maintaining manual and electronic records systems.

Work conditions

  • The candidate will be required to work 37.5 hours per week.
