Description:
We are seeking a Document Controller based in Montreal to provide timely, effective, and high-quality document management and control throughout the Project lifecycle. The role will support dispersed teams across multiple time zones and geographies as part of a central function supporting the Projects Portfolio in Canada.
This is an excellent opportunity for a team-oriented professional with strong stakeholder engagement and team leadership skills, and a solid understanding of Document Control processes. Key responsibilities will include project setup, contractor engagement and onboarding, and driving continuous process improvements.
Required Skills & Experience:
- Strong commitment to the safety of yourself and your team.
- Minimum 5 years’ experience in Document Control, preferably on large-scale projects.
- Experience supporting engineering and construction projects.
- Proven experience leading small to medium-sized Document Control teams.
- Excellent collaboration, communication, and stakeholder engagement skills.
- Experience implementing and managing Document Control systems, processes, and procedures.
- Experience with project setup, close-out, handover, and document archiving.
- Experience managing suppliers, contractors, and vendor teams.
- Ability to effectively plan, monitor, manage, and report on team workloads.
- Ability to perform effectively in a fast-paced, project-driven environment.
Highly Desired Skills:
- Document Control experience across the full project lifecycle, from Order of Magnitude studies through to handover and close-out.
- Experience working on or supporting site-based project teams.
- Previous experience using InEight Document and SharePoint.
Key Responsibilities:
- Perform quality control and verification of project deliverables submitted by contractors and Engineering Service Providers (ESPs).
- Provide training and technical support to internal and external stakeholders on Document Control and PDM systems.
- Attend project coordination meetings and ensure timely follow-up on actions and communications.
- Monitor, report, and cleanse project data in collaboration with the PDM Lead.
- Track and expedite outstanding project deliverables and RFI documentation.
- Administer and support InEight, SharePoint, and MS Office applications.
- Onboard, coach, and mentor new Document Controllers to support their ongoing development.
- Train Document Controllers on internal PDM processes, procedures, and standards.
- Prepare and distribute weekly document expediting reports.
- Escalate unresolved issues to the PDM Lead within 24 hours.
- Conduct fortnightly contractor check-ins and review Contractor Document Submissions (CDS) monthly.
- Maintain and update the document distribution matrix on a monthly basis.
- Participate in project meetings in line with project cadence and maintain regular engagement with project stakeholders.
- Deliver ongoing InEight and SharePoint user training and support.
- Develop and execute project setup and handover plans in accordance with PDM Lead requirements.
- Maintain a 24-hour stakeholder response standard and proactively address requests and issues.
- Contribute to continuous improvement initiatives, including identifying and implementing process enhancements.
- Streamline and coordinate InEight and SharePoint access requests to ensure timely user access.
