Ultra Maritime | Protecting What Matters. Powering the Future of Naval Technology. About Ultra Maritime
Ultra Maritime is a global leader in advanced maritime defence solutions. Operating at the forefront of innovation, we deliver technologies that protect lives, secure nations and contribute to a safer, more sustainable world. At Ultra Maritime, we believe in helping our people reach their full potential. Whether you're bringing established experience or looking to develop your skills, we value passion, curiosity and the drive to make a difference. Through industry-leading development programmes and mentorship from experts in maritime technology, we provide opportunities to learn, grow and build a rewarding career. The opportunity
We are looking for an organised, detail-oriented Security & Trade Controls Administrator to provide essential administrative support to our Senior Security Manager and Trade Controls Manager. Working within a security-sensitive defence environment, you will help ensure that security and trade compliance records are accurate, processes run smoothly and documentation is maintained in line with established procedures and regulatory requirements. This varied role offers the opportunity to support two important functions within the business: personnel and asset security, and trade controls and export compliance. You will coordinate routine activities, maintain confidential records, prepare documentation, monitor outstanding actions and support audits and compliance reviews. This is an excellent opportunity for someone with administration or compliance support experience who is keen to develop their knowledge of security, defence and export controls. What you'll be doing
Security Administration
Working under the direction of the Senior Security Manager, your responsibilities will include: Maintaining BPSS, Security Check (SC) and Developed Vetting (DV) application records, coordinating routine correspondence with UK Security Vetting (UKSV) and applicants, and following up outstanding information. Maintaining confidential personnel security records and change-of-circumstance logs, escalating matters to the Security Controller where appropriate. Preparing documentation, arranging meetings and tracking actions relating to security audits, investigations and compliance reviews. Maintaining asset registers, controlled-cabinet records and documentation for asset receipts, movements, transfers, handovers, disposals and returns, ensuring relevant handling arrangements and approvals are recorded. Coordinating asset musters, recording results and discrepancies, and following up agreed actions. Supporting security awareness activities and providing routine administrative cover as required. Trade Controls & Export Compliance Administration
Working under the guidance of the Trade Controls Manager, you will: Maintain classification records for goods, software, technology and documentation, accurately recording classification decisions provided by the Trade Controls Manager. Collate and track documentation for Standard Individual Export Licence (SIEL), Open General Export Licence (OGEL) and Open Individual Export Licence (OIEL) applications. Maintain licence-condition trackers, export registers, international collaboration records, technical-data transfer records and secure filing systems. Log document reviews and export-control queries, referring technical or compliance matters to the Trade Controls Manager. Gather evidence, coordinate meetings and track actions for audits, compliance checks and inspections by the Export Control Joint Unit (ECJU) or Ministry of Defence (MOD). Coordinate export-control briefing materials, maintain attendance records and support administrative follow-up activities. What we're looking for
Essential skills and experience
Experience in administration or compliance support, ideally within a security-sensitive or regulated environment. Excellent attention to detail and the ability to maintain accurate records, trackers and controlled documentation. A responsible and confidential approach to handling sensitive information. Clear written and verbal communication skills, with the ability to coordinate effectively with colleagues and stakeholders. Strong organisational skills, with the ability to prioritise competing tasks, meet deadlines and follow up outstanding actions. Desirable skills and experience
An awareness of personnel vetting, classified information handling or UK export-control administration. Experience supporting a Security Controller or trade controls function. Familiarity with GOVS007, ITAR/EAR requirements or ECJU licensing processes. A genuine interest in developing knowledge and expertise in security administration, trade controls and export compliance. Personal attributes
You'll be reliable, discreet and committed to working within established procedures. You'll bring a proactive and organised approach, be comfortable working independently with minimal supervision, and collaborate effectively with colleagues across both functions. The ability to remain calm, focused and professional while managing deadlines will be important to your success. You don't need to meet every criterion to apply. If you have relevant administrative experience, a keen eye for detail and the motivation to learn, we'd welcome your application. What can you expect from us?
At Ultra Maritime, this is more than just a job - it's an opportunity to contribute to a meaningful mission. The work we do helps protect lives, advance technology and shape the future of maritime security. We also recognise that great work happens when people are supported to live well, not just work hard. That's why flexibility, wellbeing and professional development are central to our approach. Where the role permits, we actively support flexible working arrangements, including hybrid and remote options or on-site working. We're also open to discussing part-time hours, compressed hours and bespoke working patterns to help you find the right balance. Across our sites, we offer a nine-day fortnight, giving you an extended weekend every other week and more time to recharge and enjoy life outside work. Our benefits include: Flexible start and finish times, including a 1 pm finish on Fridays. Time Off in Lieu (TOIL) of up to one day per calendar month. Annual bonus. 25 days' annual leave, with a holiday buy-and-sell scheme. A culture built on Integrity, Transparency and Alignment. Opportunities for professional development, learning and mentorship. Additional information
Security clearance: The successful candidate must be able to obtain and maintain Security Check (SC) clearance. Baseline Personnel Security Standard (BPSS) checks will be required as a minimum. Travel: Occasional travel to MOD sites, defence partners or compliance meetings may be required to support administrative and record-keeping activities.
